Responsibilities

This position is responsible for coordinating and arranging the maintenance, calibration, and proper functioning of all departmental equipment. This position will also ensure that all equipment is in good working order and meets all requirements as established by applicable SOPs.

 

  • Oversee the inventory, issue, and de-issue of all departmental equipment.
  • Ensure that calibration/PM schedules are met and track all equipment in inventory.
  • Diagnose and resolves problems and malfunctions related to equipment.
  • Document all Q.C. testing and reports on any deficiencies.
  • Ship inoperable equipment to vendors for repairs, tracks and reports on status.
  • Assist staff where needed in the overall management of the department.
  • Provides technical assistance, training and support to system users.
  • Manage inventory, supplies and equipment for the Clinical Services Department.
  • Maintain equipment and perform periodic cleaning and maintenance on all equipment.
  • Responsible for all machine, supply and inventory paperwork and documentation as per SOP and QRA guidelines.
  • Ensure the timely delivery and pick up of equipment and the maintenance of proper supply levels at all customers as well as fixed site locations.
  • Maintain an efficient and effective system of inventory and supply maintenance.
  • Provide positive customer service to all internal and external customers.
  • Examines shipping containers for damage prior to accepting them for delivery. Manages all damaged products according to established procedures.
  • Assures products received are correct in description and quantity by comparing the packing slip against the purchase order. Manages all discrepancies according to established procedures.
  • Distributes products to departments and performs all record keeping functions associated with product distribution.
  • Performs inventory Cycle counts.
  • Performs tasks associated with purchasing such as product receiving, product distribution, product procurement, generating purchase orders, matching up purchase orders with bills of lading, management of manufacturer recalls and related data entry functions.
  • Assures that items are received properly and added into the inventory system accurately.
  • Facilitates and provides information for quality audits.

Equipment Calibration and Maintenance:

  • Perform and document certain equipment maintenance.
  • Maintain the Equipment Management System or equivalent records for each piece of regulated equipment.
  • Perform actual maintenance and calibration on equipment.
  • Schedule equipment for routine preventative maintenance.
  • Coordinate emergency equipment repairs.
  • Assess historical maintenance to ensure equipment is replaced when needed.
  • Works with the department director/designee to respond to audit, inspection, and/or assessment findings. Developing and implementing corrective action plans when necessary.

Storeroom and Supplies:

  • Order supplies and maintain the storeroom – Storeroom and Supplies.
  • Ensure no shortages in supplies that result in an adverse impact on operations.
  • Ensure proper rotation of supplies based on FIFO principles.
  • Perform a monthly inventory of the storeroom. Perform a yearly inventory at the end of the fiscal year.
  • Maintains cleanliness and orderliness in the storeroom.

Shipping and Receiving:

  • Receive supplies and distribute as necessary to various locations – Shipping/Receiving.
  • Unloads and logs in all incoming packages. Verifies accuracy of shipments as appropriate. Maintains inventory in the storeroom, Donor Services, canteens, kitchens, conference rooms and mailrooms to insure freshness, neatness, and orderliness of inventory on shelving, pallets, and floors.
  • Keeps inventory spaces (garages and storerooms) neat, clean/organized, and free of trash, and monitors incoming orders in relationship to space availability for assigned donor centers and mobile operations.
  • Keeps the facility in good repair that will result in light maintenance as needed, coordinates service calls and activities between vendors and staff.
  • Works with and receives direction for facility repairs/maintenance at multiple fixed site locations.
  • Delivers shipments and packages to designated departments while ensuring compliance with set policies and procedures albeit financial or regulatory.
  • Prepares and delivers requested storeroom inventory for distribution to appropriate departments.
  • Prepares storeroom inventory for distribution to satellite locations. Delivers supplies to satellite locations.

Qualifications

Education:

  • High School Diploma or equivalent.

Related Experience:

  • Minimum 2 years of experience in logistic operations within a healthcare supply chain.

Preferred Qualifications:

  • Associates or bachelor’s degree in related field preferred.
  • Experience with shipping software preferred.
  • Experience receiving and handling medical supplies preferred.   

Any combination of education, training and experience that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.

 

For applicants who will perform this position in New York City or Westchester County, the proposed hiring rate is $28.00p/hr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant’s skills, job-related knowledge, and experience.
