Responsibilities

The Contract Specialist will play a key role in managing, reviewing, and standardizing contracts within the Comprehensive Client Relations (CCR) team. Reporting to the Senior Executive Director Hospital & Client Account Management, the Contract Specialist ensures all customer agreements are processed efficiently and align with organizational objectives. This role acts as a liaison between various teams, including legal, business development (BD), and finance, to maintain compliance and consistency in contract terms, templates, and execution timelines.

 

Contract Management and Standardization

  • Develop, maintain, and standardize contractual agreement templates, ensuring consistency and alignment with organizational policies.
  • Periodically review and update Master Service Agreements (MSAs), fee schedules, and other contractual documents to reflect current business practices.
  • Implement and enforce standardized processes for the creation, review, and storage of customer contracts.
  • Monitor MSA timelines and proactively alert stakeholders to upcoming deadlines, renewals, and amendments.
  • Track upcoming fee schedules and ensure the team operates within the agreed contractual terms.

Cross-Functional Collaboration and Process Improvement

  • Act as the primary point of contact for contract-related questions from internal teams, including finance, legal, and BD teams.
  • Collaborate with the legal team to ensure systems and processes adhere to organizational compliance requirements and contractual processes are simplified wherever possible.
  • Implement tools and systems to improve contract tracking, storage, and retrieval.
  • Collaborate with the IT Analytics team on enhanced reporting and analysis of contracts.
  • Ensure compliance with organizational and legal standards across all contractual agreements.
  • Maintain accurate and up-to-date records of contract negotiations, approvals, and final agreements.

Contract Execution

  • Prepare, review, and execute new customer contracts to ensure accuracy and timely completion.
  • Monitor active contracts to ensure adherence to terms, highlighting any discrepancies or risks to stakeholders.
  • Work with internal and external counsel to gather documents.
  • Participates in meetings and committees as needed.
  • Makes recommendations for improvements of business unit’s processes and practices as they relate to the contracts with the enterprise customers.
  • Works on special projects as assigned.
  • Any related duties as assigned.

Qualifications

Education:

  • Bachelor’s degree in Business or related field.

Experience:

  • 3-5 years of experience in contract management, preferably within healthcare, pharmaceuticals, or a similar regulated industry.
  • Strong understanding of contract terms, MSAs, and fee schedules.
  • Excellent organizational skills and attention to detail.
  • Proficiency in contract management systems and tools (e.g., Salesforce, DocuSign).
  • Effective communication skills to liaise with internal and external stakeholders, including legal and finance teams.
  • Ability to manage multiple contracts and deadlines in a fast-paced environment.

Knowledge:

  • Knowledge of a variety of software applications (Microsoft Office Suite).

  • Experience in using legal database software Conga and Salesforce.

Skills & Abilities:

  • Ability to maintain accurate paper and electronic records.

  • Strong organizational skills.

  • Strong attention to detail in all work processes.

  • Ability to effectively solicit, cultivate, and build relationships with constituents and organizations.

  • Ability to interact with individuals at all levels of the organization and customers in a helpful, courteous and friendly manner while demonstrating sensitivity to and respect for diverse populations.

Travel:

  • As needed for special projects.

For applicants who will perform this position in New York City or Westchester County, the proposed annual salary is $85,000.00p/yr. to $95,000.00p/yr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant’s skills, job-related knowledge, and experience.

 

Unless otherwise specified, all posted opportunities are located in the New York or Greater Tri-State office locations.
