Responsibilities

The Fund Development Operations Coordinator supports the leadership of the Fund Development department in executing fundraising strategies that advance the organization’s mission and goals. This role requires strong accounting, data management, writing, and communication skills, with demonstrated experience using
Salesforce CRM (preferably NPSP).


The Operations Coordinator plays a vital role in maintaining donor trust and optimizing fundraising effectiveness through accurate gift processing, timely donor acknowledgments, and accurate data management. They will partner closely with the Finance Office and the Office of Sponsored Programs to produce monthly reconciliation reports and manage best practices in receipting and recognition, including restricted gift tracking.

 

  • Gift Processing and Stewardship: Accurately record and receipt financial gifts, ensure timely donor acknowledgments, and support recognition initiatives.
  • Database and Reporting: Maintain Salesforce NPSP donor data, generate accurate reports, and provide data-driven insights to improve fundraising strategies.
  • Campaign and Departmental Support: Assist in the creation, execution, and tracking of fundraising campaigns and initiatives.
  • Financial Coordination: Collaborate with Finance and Office of Sponsored Programs on monthly reconciliations and restricted giving fund tracking.
  • Research and Prospecting: Use secondary research tools to identify potential new donors and funding opportunities.
  • Content and Communication: Contribute to fundraising materials and campaign messaging as assigned.

Salesforce:

  • Business analysis of the organization’s Salesforce environment, focusing solely on the Fund Development area.
  • Interface with internal Salesforce users to interpret and translate their use cases into potential Salesforce feature edits/additions.
  • Maintenance of data health of Fundraising databases in Salesforce.
  • Regularly review existing and new Contacts, Accounts, Opportunities, Campaigns, Leads, and Payments and other key Objects to ensure data is accurate, complete, consistent, timely, non-duplicated, and valid.
  • Review any data that syncs from third-party sources to Salesforce to ensure data health.
  • Design and advocate a protocol for best practices and procedures around data entry and maintenance in Salesforce.

Salesforce Gift Entry:

  • Daily entry and tracking of enterprise monetary donations into Salesforce Nonprofit Success Pack that are received via online, check, ACH, and 3rd party vendors.
  • Acknowledgement of enterprise donations through merging and sending of tax receipts and thank you letters through various channels, such as mail, email, and phone calls.
  • Logging and saving all records of receipting in the NPSP Salesforce environment.

Reconciliation of contributed revenue:

  • Monthly reconciliation of Fundraising and Finance departments to ensure all monetary donations are tracked and accounted for, through Salesforce and various Excel reports.

Support NYBCe Fund Development Efforts:

  • Supports the planning and execution of fundraising campaigns such as direct mailings, emails, text messages, webpages, proposals, and collaborations with other NYBCe staff for location specific partners and
    events.

  • Supports identifying prospective individuals and organizations with high giving potential to increase fundraising effectiveness.
  • Assist with conducting research to optimize fundraising methods using SF and the Marketing Cloud.

Facilitate Measurement Tools:

  • Conduct ongoing review of the various metrics measuring current status and progress of the fundraising targets for the team and track pledged and cash giving, while also preparing In-kind gifts for various teams.
  • Monitor rational metrics to measure success of NYBCe fundraising efforts.

Data Analysis:

  • Regularly use Salesforce Reports, Dashboards, and data analytics tools to report on data health, campaign performance, constituent management, event performance, email performance, and other KPIs.

Account Engagement:

  • Format and send emails in Account Engagement.
  • Maintain mailing segmentation lists in Account Engagement.

Fundraising:

  • Assist Fund Development team members in maintaining access to online third-party tools and portals that integrate with Salesforce or distribute data on financial constituents.
  • Assist the Fund Development team in the planning and execution of major fundraising campaigns and events from an operational perspective.
  • To achieve our goals and objectives, you will collaborate closely with stakeholders across the organization to make sure our fundraising operations.

Location Specific Details:

  • 3x a week in the office; Up to 2x a week from home

Qualifications

Education:

  • Bachelor’s Degree.
  • Master's degree in Finance, Fundraising, Non-profit Management.

Experience:

  • Minimum 2 years’ professional experience in a fundraising operations support role.
  • Moderate to advanced experience with Salesforce and Nonprofit Success Programs.
  • Managing communications in a non-profit work environment.
  • Developing short communication content to extend the organization’s mission.
  • Managing Salesforce as part of a team (non-profit or for-profit work environment).
  • 1+ year of work experience with Salesforce (experience in Pardot/Marketing Cloud).
  • Advanced/intermediate level of Salesforce Nonprofit Success Pack.
  • Basic level of Salesforce Account Engagement (Pardot).
  • Advanced level of Microsoft Office Skills, specifically Excel.
  • 1 year intermediate to advanced salesforce skills.
  • Knowledge of Fundraising best practices and fundraising data management.

Knowledge:

  • An understanding of fundraising operations, salesforce systems and general best
    fundraising accounting practices.

  • Familiar with Google AdWords, Salesforce and Pardot, and Accounting Practices.
  • Advanced level of computer competency including but not limited to MS Office (Word,
    PowerPoint, Excel, Outlook).

  • Advance skills working in PC operating systems.

Skills:

  • Strong attention to detail in all work processes and deadline-driven.
  • Team-oriented, results-oriented and mission-driven.
  • Ability to work autonomously with some supervision while also able to work in a
    team environment.

  • Organizational, collaborative, and presentation skills.

For applicants who will perform this position in New York City or Westchester County, the proposed annual salary is $73,430.00p/yr. to $83,000.00p/yr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant’s skills, job-related knowledge, and experience.
